Set up as a group of six companies, Via Terra provides a wide range of rail, river and maritime transport, special and oversize transportation services, and also activities related to the development and maintenance of the railway infrastructure and transport safety. The company’s headquarters is in Cluj-Napoca and it has more than 500 employees throughout the country. 

Via Terra founded RailSoft, a company that will manage the development and implementation of a ticketing solutions, and at the same time will ensure internal support needed for effective use of technology within the group. Later, RailSoft's activity became an independent business line by selling the ticketing application to other beneficiaries as well.

In 2015, the Via Terra management team decided to improve the working environment of employees at the e-mail level, collaboration and productivity tools. The decision was taken both to eliminate some failures of e-mail solution and to optimize the creation and transmission of commercial and legal documents. Also, due to the existence of six distinct companies within the group and ten branches geographically distributed, the IT team had difficulties to manage their users, the access rights and the allocation and installation of licenses.

As a Microsoft Certified Partner, we searched for the right solution. After a closer analysis, BRINEL-RailSoft team proposed to migrate to Office 365 for 52 users of Via Terra, solution which allow a clear improvement of collaboration and centralized management of resources.

Following the advice offered by BRINEL, I understand the benefits of cloud services and we decided to adopt Office 365. This decision has brought us a 25% reduction in costs with Microsoft product licensing, especially a performance e-mail solution , easy to manage in a centralized manner.

The possibility of installing on multiple devices is another gain of new licensing form. We have users of Mac and Office 365 allows us to install on these devices, without additional costs. We consider that the functionality creating in SharePoint Online for the legal department where legal, documents easily reach the beneficiaries, that can be traced to changes and they always have updated versions. Also, centralized management of the allocation of licenses helps in their daily work, especially since we have employees in ten different locations.

Via Terra employees use Office 365 on Windows and iOS devices, including the smartphones. Documents are centrally stored and easy to access regardless of location. Storage and attachments limits are generous and it reaches 99.9% availability, which ensures fluency in activity.

By using Office 365 Admin Center facilities, the Via Terra IT team manages the organization domain, users administration, rights allocation, etc. Thus, the company reduced the management operation spend time by 30% and the IT team can focus on activities with high added value.

Skype for Business offers to RailSoft employees visual communication facilities and desktop sharing and thus maintenance operations are simpler and have a greater impact.
